Tools & Resources I Use To Keep My Business Organised

Squarespace

This is what I use for my website. I've used Wordpress in the past but I found it harder to maintain & customise without hiring someone to help. I like Squarespace's clean lines, it's ease of use and the fact that I can do it myself. I like to think of Squarespace like Apple is to PC.

Dubsado

OMG!! This is my absolute favourite CRM and my go to hub for all client related business in my photography biz. It houses all my contracts, questionnaires, guides, booking proposals, canned emails, bookkeeping, lead capture and workflows.

Asana

Asana is the bee's knees when it comes to project management. It houses all of my marketing plans, client workflows and processes, blog post ideas and much more. It's the general hub of my entire business and keeps me organised. It's also FREE!

Acuity Scheduling

This is my go to online scheduler. It organises my sessions and gallery appointments and alleviates the stressful back and forth emails trying to pick a time that suits everyone.

G Suite

I purchased my email address through G-Suite as Squarespace offers a free email address for the first year with them + I LOVE gmail. It's my preferred email host.

Gmail

My preferred email host. I love the fact I can host multiple 'alias' email addresses within the one system, the labels, canned emails and the extensions they have available.

Loom

This free video tool is perfect when you need to share quick tips and tutorials for your client. It's a super easy to use Google chrome extension and you can also add it to your gmail account and send videos from there.

Streak

This is an gmail extension. It has multiple features but my favourite is the delayed sending. Want to write an email at 10pm at night but send it at 9am the next morning? Streak lets you do it. And it's FREE!!! Gotta love that.

FloDesk

While Dubsado is great for keeping my clients correspondance and notes, it's not an email marketing system. This system allows me to tag and segment my email list, create autoresponder sequences and grow my list with opt in freebies easily.

Later

My favourite Instagram scheduler. While this doesn't auto-post to Instagram for you (unless you have a business insta account), it does allow me to upload a photo from my computer, add hashtags with ease and schedule it. You also get 30 posts a month on the free plan!

Zapier

Automation at its finest. The tool allows software to connect to each other and 'talk'. You can then set up 'zaps' so that when something happens in one system, it automatically starts something in another. It eliminates the need for you to do it manually.

IFTTT

This is exactly like Zapier but it doesn't connect with as many softwares or have as many 'triggers' in it. However, it is free and great for managing automations for social media.

PhotoBizX

My absolute favourite photography podcast. This podcast is full of interviews with various photography experts and business owners and is jammed packed with actionable advice that's already working in other people's businesses. There is both a free version and a premium version. With the premium version offering more insight and specifics of each episode's topic. This is one podcast where I actually pay for the premium version.

Pixieset

For my online galleries I use and love Pixieset. It’s beautifully designed, has easy to use features and my favourite part - the shopping cart. They make it super easy on the client end to place an order and they prioritise Packages in the cart which is perfect for me as that’s what I want to sell the most of.

Shootproof

I don't use Shootproof anymore since I switched to Pixieset. But it’s still a great option for galleries and really suits some businesses perfectly, so I do still recommend them. They have a whole slew of features including email marketing, contracts & invoices + I love the fact you can add instructional videos to a gallery.

Yes, some of these links are affiliate links. However, I only recommend things that I believe in and have used and loved in my business.
